By registering for a Retrieve Conferences event, you acknowledge that you have read, understood, and agreed to these Registration, Cancellation, Refund & Event Terms and Conditions.
Retrieve Conferences is committed to providing clear and transparent registration and cancellation terms for all participants. These terms apply to conference delegates, speakers, attendees, and other registered participants unless different conference-specific terms are clearly communicated at the time of registration.
All requests to cancel, modify, or transfer a registration must be submitted in writing to accounts@retrieveconferences.com.
Registration changes and cancellations are subject to the applicable deadlines and conditions stated in these Terms and Conditions.
If a registrant is unable to attend an event and is not able to transfer their registration to another eligible participant or event, the following refund schedule applies:

Refund percentages and deductions apply to the registration fee actually paid, subject to any applicable non-refundable charges described below.
A fully paid registration may be transferred to another individual from the same organization if the originally registered participant is unable to attend, subject to prior written approval by Retrieve Conferences.
Transfer requests must be received at least 28 days before the scheduled conference date. Registrations cannot normally be transferred where the request is received within 28 days of the conference.
A transferred registration is not eligible for a refund.
If Retrieve Conferences cancels an event for reasons within its control, registered participants will be informed using the contact information provided during registration and through appropriate event communication channels.
Unless otherwise required by applicable law or expressly communicated for the particular event, the registered participant will be eligible for a 100% credit of the registration fee paid.
The credit may be applied toward another Retrieve Conferences event taking place within one year from the date of cancellation, subject to availability and any applicable difference in registration fees.
Where appropriate, Retrieve Conferences may also offer an alternative event, a rescheduled event, or another reasonable remedy.
If Retrieve Conferences postpones an event or changes its dates, registrations will generally remain valid for the rescheduled event.
If a registered participant is unable or unwilling to attend the rescheduled event, the participant will generally be eligible for a 100% credit of the registration fee paid, subject to the terms communicated for the particular event.
Unless otherwise required by applicable law or expressly communicated for the particular event, registration fees are not automatically refunded solely because an event has been postponed.
An invitation letter does not guarantee that a visa or travel authorization will be issued. Delegates are solely responsible for obtaining the appropriate visa, passport, travel authorization, insurance, and other documents required for participation.
Visa refusal, delayed processing, inability to obtain a visa or travel authorization, passport issues, or personal travel restrictions do not automatically entitle a registrant to a refund.
Any cancellation or refund request arising from visa-related circumstances will be handled in accordance with this Refund Policy.
If a registered participant does not attend the conference, fails to check in, or is unable to attend for personal, professional, travel, visa, health, or other reasons without cancelling in accordance with these Terms, the registration fee will generally be non-refundable.
Where appropriate and subject to availability and organizer approval, the participant may request a transfer of the registration to another eligible participant or another Retrieve Conferences event.
The following payments are non-refundable unless otherwise required by applicable law or expressly stated otherwise at the time of purchase:
Approved refunds will generally be processed within 15–30 business days after approval.
Refunds will normally be made using the original payment method whenever technically possible. The time required for the refund to appear in the participant's account may depend on the participant's bank, card issuer, payment provider, or international payment processing system.
Bank charges, payment-processing charges, currency-conversion charges, exchange-rate differences, taxes, administrative charges, and other non-recoverable transaction fees may be deducted from the refundable amount where applicable.
Accommodation providers, including hotels, may have their own cancellation, amendment, and refund policies.
Where accommodation is booked through or arranged by Retrieve Conferences, the applicable cancellation conditions of the relevant accommodation provider will apply. These conditions may include non-refundable deposits or charges for cancellations made within a specified period before arrival.
Participants wishing to cancel or amend accommodation should contact Retrieve Conferences as soon as possible.
Retrieve Conferences will not be responsible for losses, costs, delays, damages, or failure to hold or conduct an event as originally planned where circumstances beyond its reasonable control occur.
Such circumstances may include natural disasters, severe weather, epidemics or pandemics, public health emergencies, government restrictions, war or civil unrest, terrorism or security threats, strikes or labor disruptions, transportation disruptions, power or telecommunications failures, venue closure, regulatory restrictions, or other events of force majeure.
Where an event is affected by such circumstances, Retrieve Conferences may reschedule the event, change the location, convert it to an online or hybrid format, transfer registrations, provide event credit, or determine another reasonable arrangement in accordance with the circumstances and applicable law.
Some conferences may have different registration conditions, cancellation deadlines, refund percentages, or other special requirements.
Where conference-specific terms are clearly displayed on the relevant registration page or agreed in a separate written agreement, those specific terms will take precedence over these general Terms to the extent of any inconsistency.
Retrieve Conferences reserves the right to update these Terms when necessary. The version applicable to a participant will generally be the version presented or made available at the time of registration, subject to applicable law and any conference-specific or contractual terms.
